At PayNudger, we respect your privacy and only collect the information we need to provide our services. This Privacy Policy explains what information we collect, how we use it and how we protect it.

1. Who we are

PayNudger provides simple automated follow-up tools for tradespeople, freelancers and small businesses.

PayNudger is a trading name of Neil Stow, sole trader.

For the purposes of UK data-protection law, Neil Stow trading as PayNudger is the data controller

where PayNudger determines how and why personal information is processed.

2. Information we collect

We only collect the information we need to provide our services.

Depending on how you use PayNudger, this may include:

Your name, if provided
Your email address
Information you enter into PayNudger forms
Your subscription status
The PayNudger product or service you have purchased
Dates and times relating to your follow-ups
Messages and other information required to provide your chosen follow-up service

Where you use PayNudger to send follow-ups to your customers or other contacts, we may also process personal information about those individuals that you provide to us, such as their name, email address and information required to provide the relevant follow-up service.

We do not collect or store your payment card details.

3. How we use your information

We use your information to:

Provide your PayNudger service
Send automated follow-up emails
Manage your subscription and access to PayNudger
Respond to support requests and enquiries
Maintain and improve our website and services
Meet our legal and regulatory obligations where applicable

Where we act as data controller, we process personal information where necessary to provide and manage our services and subscriptions, to comply with our legal obligations, and where necessary for our legitimate interests in operating, supporting and improving PayNudger, provided those interests are not overridden by your rights and interests.

Where you provide personal information about your customers or other contacts for the purpose of sending a PayNudger follow-up, we process that information on your behalf and in accordance with your instructions in providing the service.

We do not sell your personal information.

4. Payments

Subscription payments are securely processed by Stripe.

PayNudger does not receive or store your full debit or credit card details. Stripe processes payment information in accordance with its own privacy and security policies.

We may receive information from Stripe that is necessary to manage your PayNudger subscription, such as your email address, subscription status, product purchased and relevant customer or subscription identifiers.

5. Website analytics and cookies

We may use website analytics and cookies to understand how visitors use our website and to help us improve PayNudger.

Depending on the cookies and analytics services enabled on the website, information collected may include:

Pages visited
Browser type
Device type
Approximate location
General information about how visitors interact with the website

This information does not normally identify you personally.

6. Third-party services

To provide PayNudger, we use trusted third-party service providers. These may include:

Wix — website hosting and website services
Stripe — subscription and payment processing
Tally — online forms used to collect information required to provide PayNudger services
Make — automation used to process information between PayNudger services
Google Sheets — secure storage and processing of service data
Microsoft Outlook / Microsoft 365 — sending and managing service emails

These providers only receive or process information where necessary for the services they provide to us.

Some of our service providers may process personal information outside the United Kingdom. Where personal information is transferred outside the UK, we take steps to ensure that the transfer is permitted under UK data-protection law and that an appropriate transfer mechanism or safeguard is in place where required. 7. Google account and Gmail connection

If you choose to connect a Google account to PayNudger, PayNudger requests permission to send email from that account using the Gmail API (gmail.send). This allows PayNudger to send the automated follow-up emails that you create through our service from your own Gmail address.

PayNudger does not request permission to read your Gmail inbox, emails, contacts or other Gmail content.

To maintain the connection and send scheduled emails, PayNudger securely stores an encrypted Google OAuth refresh token associated with your PayNudger customer account. We do not receive or store your Google password.

Google user data obtained through this connection is used only to provide the PayNudger email-sending functionality requested by you. We do not sell Google user data, use it for advertising, or use it to develop, improve or train artificial intelligence or machine-learning models.

We do not transfer or disclose Google user data to third parties except where necessary to provide or secure the PayNudger service, or where required by law.

You can revoke PayNudger's access to your Google account at any time through your Google Account permissions. You may also contact us at hello@paynudger.co.uk to request deletion of information associated with your Google connection. We retain Google connection information only for as long as it is required to provide the connected service or meet applicable legal obligations.

PayNudger's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

8. How we keep your information safe

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse or disclosure.

Access to the systems and services used to operate PayNudger is restricted where appropriate, and we use established third-party providers for services such as payments, website hosting, data processing and email delivery.

However, no online service or method of electronic storage can guarantee absolute security.

9. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing PayNudger services and meeting our legal, accounting and regulatory obligations.

Subscription and transaction information — retained while your subscription is active and, where necessary, for up to six years afterwards for accounting, tax, legal or record-keeping purposes.

Follow-up information — retained while required to provide and manage the relevant follow-up service. When it is no longer required for that purpose, it will be deleted or anonymised in accordance with our retention arrangements, unless we need to retain particular information for legal, security, dispute or support purposes.

Contact and support enquiries — normally retained for up to 24 months after your last contact with us, unless there is a reason to retain the information for longer.

General enquiries from people who do not become customers — normally retained for up to 12 months after the last contact.

Information may remain for a limited period in backups, system logs or deleted-item recovery systems operated by us or our service providers before being permanently removed in accordance with the relevant retention processes.

We periodically review the personal information we hold and delete or anonymise information when we no longer have a legitimate reason to retain it.

10. Your rights

Under UK data-protection law, you may have rights in relation to your personal information, including the right to:

Ask for access to the personal information we hold about you
Ask us to correct inaccurate or incomplete information
Ask us to delete your personal information in certain circumstances
Ask us to restrict the way we use your information in certain circumstances
Object to certain uses of your personal information
Request transfer of your personal information where applicable
